Social Networking Policy

Social Networking Policy

The following policy provides guidelines for using social networking appropriately while minimizing risk for Nordson.

I. Purpose
As the use of online social media and networking increases, it is important that Nordson employees use these forums appropriately and responsibly, especially when discussing or disclosing any information related to Nordson or to their employment at Nordson. While social media and networking opens new opportunities to have a positive impact on our brand reputation and business growth, it also carries significant business risks when used inappropriately. The following policy provides guidelines for using social media and networking appropriately while minimizing risk for Nordson. Failure to follow Nordson's Social Media and Networking Policy or any other abuse of social media and networking tools may result in disciplinary action up to and including termination of employment.

II. Scope

This policy covers all employees of 1) Nordson Corporation and 2) all Nordson subsidiaries, and applies to both business and personal use of social media and networking forums that involve any information related to Nordson or an employee's employment at Nordson. In the event anything in this policy may conflict with local, state, or federal law concerning internet use and data privacy, those laws will control the interpretation and application of this policy.

III. Definitions
In general, the term "social media and networking" describes the online tools that people use to share photos, videos, and other content, as well as opinions and insights. These tools include, without limitation:

  • Postings on the Internet to social media and networking sites, such as Facebook or LinkedIn
  • Blogs and other online journals or diaries shared publicly
  • Bulletin boards and chat rooms
  • Twitter and other microblogging applications
  • Video-posting sites such as YouTube

IV. Rationale
As social media and networking continues to grow and influence worldwide and is made easier by the use of mobile devices, Nordson recognizes the need to participate. Reasons for Nordson participation in social media and networking include the following:

  • To monitor what is being said about Nordson and participate in online discussions as appropriate
  • To engage Nordson stakeholders - customers, prospects, investors, employees, journalists, and communities
  • To gain market intelligence and understand industry trends
  • To aid recruiting efforts
  • To direct individuals to learn more about Nordson via Nordson.com
  • To be prepared in the event of a crisis
  • To continue building the strength, credibility, and authenticity of the Nordson brand

V. Levels of Nordson Participation in Social Media and Networking
Nordson's participation in social media and networking occurs at three distinct levels - corporate, business unit, and individual.

A. Nordson Corporate Social Media and Networking Participation
Nordson maintains an official corporate presence on three of the largest social media and networking sites - Twitter, Facebook, and LinkedIn. These sites are updated and managed by Nordson's Corporate Communications Department.

In addition, Nordson has "share-enabled" www.Nordson.com via a toolbar located on the footer of every page on the site. This toolbar makes it simple for visitors to share links to pages on www.nordson.com on a variety of social media and networking sites.

B. Nordson Business Units and Social Media and Networking Participation
An individual Nordson business unit, such as Nordson EFD, Nordson ASYMTEK, Adhesive Dispensing Systems, etc., may establish a presence on a social media and networking site in order to engage its customers and specific markets. Business units participating in social media and networking must adhere to the following guidelines:

  1. Contact Nordson's Corporate Communications Department before establishing a social media and networking presence. All business social media and networking participation must be reviewed and approved by Nordson's Corporate Communications Department.

  2. Know and follow all Nordson policies, including our Code of Business and Ethical Conduct and our Public Communications and Media Relations Policy, which outline information disclosure requirements, and the guidelines in this Social Media and Networking Policy.

  3. Business units should carefully evaluate their ability to manage a social media and networking program before beginning any activity. Know what you wish to do, why social media is the best tactic, and what a successful outcome will look like.

  4. Generally, only one page on any given social media and networking platform should be established per business unit in order to minimize confusion in the marketplace. For example, there should not be more than one Twitter account set up for Nordson EFD.

  5. A specific individual within the business must be assigned responsibility for social media activity. All activity within that business should be coordinated through the assigned individual. Often, this individual is the local communications or marketing manager. This individual must notify the Corporate Communications Department regarding his/her role as a local administrator.

  6. Marketing and product videos may be posted to YouTube.com.

  7. Participants must observe the General Guidelines for Social Media and Networking Activity outlined in part VI of this document.

  8. Nordson's Corporate Communications Department reserves the right to require modifications to
business unit social media and networking.

C. Individual Employee Participation in Social Media and Networking
Employee social media and networking activity during work hours should be limited to legitimate Nordson business purposes and approved by your supervisor. You and your supervisor should determine what amount of time spent on such sites during work hours is expected or reasonable. In certain locations, access to social media and networking sites may be blocked for network security purposes. Should access to a blocked social media and networking site be required, the employee should describe the specific business purpose for needing access to the site and submit a request to his/her supervisor and the Corporate Communications Department.

Nordson recognizes that many employees also use social media and networking sites during their personal time. Nordson fully respects the legal rights of our employees in all countries in which we operate. However, activities in or outside of work that affect your job performance, the performance of others, or Nordson's business interests are a proper focus for company policy.

In all cases, individual employees should adhere to the following general rule: When referencing anything with regard to Nordson and/or our industry on your own time, be clear that the views and opinions being expressed are yours and yours alone and are in no way endorsed by Nordson. Typical language is "this posting is my own and does not necessarily represent Nordson's positions, strategies, or opinions." Do not purport to speak on Nordson's behalf, including regarding political views, social issues, violent or sexually-explicit topics, drug-related content, or inflammatory or unlawful speech.

Be respectful in all communications and blogs related to or referencing Nordson or its subsidiary entities. Do not use obscenities, profanity, or vulgar language. Do not use social media networks to harass, bully, discriminate against, or intimidate others. Behaviors that constitute harassment and bullying include, without limitation: comments that are derogatory with respect to race, religion, gender, national origin, sexual orientation, color, age, disability, or any other characteristic protected by applicable law; sexually suggestive, humiliating, or demeaning comments; and threats to stalk, haze, or physically injure Nordson, its subsidiary entities, or any Nordson or Nordson subsidiary employee. You may not post hate speech or engage in unlawful activity that harms Nordson's reputation or that of a Nordson subsidiary, including purported political activity that involves racism, harassment, or violence. Do not post anything threatening employee safety or workplace violence, or anything that could potentially cause interpersonal problems in the office or a hostile work environment.

Do not disclose or post other employees' personal and confidential information without their written consent. Generally, taking photographs or recordings in any Nordson or Nordson subsidiary office is prohibited.

Nordson does monitor public social media and networking forums for relevant content regarding Nordson and related terms, its employees, customers, and competitors. Nordson, at its discretion, will review these references as necessary, and where local, state, and federal laws permit, enforce its policies and practices.

Employees should also follow all general guidelines for social media and networking activity described in the following section.

VI. General Guidelines for Social Media and Networking Activity
Whether you are engaged on an official Nordson-sponsored social media and networking site or referencing Nordson on a personal site, the following guidelines should be observed:

  1. All Nordson policies apply. Know and follow all Nordson policies, including our Code of Business and Ethical Conduct, Public Communications and Media Relations Policy (both available on Nordson's intranet), and this Social Media and Networking Policy, and all other applicable laws, regulations, and guidelines.

  2. Protect confidential and proprietary information. Social computing blurs many of the traditional boundaries between internal and external communications. Be thoughtful about what you publish. You must make sure you do not disclose or use Nordson confidential or proprietary information or trade secrets in any online social computing platform.

  3. Protect Nordson's customers, business partners, and suppliers. Customers, partners, or suppliers should not be cited or obviously referenced without their approval. Externally, never identify a customer, partner, or supplier by name without permission and never discuss confidential details of a customer engagement.

  4. Respect copyright and fair use laws. For Nordson's protection as well as your own, it is critical that you show proper respect for the laws governing copyright and fair use of copyrighted material owned by others, including Nordson's own copyrights and brands.

  5. Do not comment on confidential aspects of Nordson's financial performance. Since Nordson is a public company, you must not comment on confidential Nordson financial information such as Nordson's future business performance, business plans, or prospects anywhere in the world. This includes statements about an upcoming quarter, future periods, or information about alliances, and it applies to anyone, including conversations with Wall Street analysts, press, or other third parties (including friends and family). You may not post knowingly and maliciously false, defamatory, or offensive posts about Nordson or its subsidiaries, nor publicly disparage Nordson's products or services. Also, Nordson policy is not to comment on rumors.

  6. Think before you post. Use sound judgment and think about reactions to your post before you post it because it may live online indefinitely, even after you delete it.

  7. Respect your audience. Avoid slurs, personal attacks or insults, obscenity, etc., and topics that may be considered objectionable or inflammatory. Show proper consideration for others' privacy and avoid picking fights. Be the first to correct your own mistakes, and be constructive and respectful in correcting others.

  8. Don't give away what customers typically pay for. Social media and networking sites are about the exchange of information. It is good to add value and be helpful. At the same time, avoid posting the kind of information and advice for which customers pay Nordson. To ensure you are not divulging too much information, be thoughtful about what information you post and how you respond to feedback. Ask yourself, "Is this the kind of information that our customers normally pay us for?" It is better to err on the side of divulging too little information than too much. Find a way to engage the individual offline for further information-sharing.

  9. Use your best judgment. Remember that there are always consequences to what you publish. If you are about to publish something that makes you even the slightest bit uncomfortable, review the suggestions above and think about why that is. If you are still unsure, and it is related to Nordson business, feel free to discuss it with your manager. Ultimately, however, you have sole responsibility for what you post on any form of online social media and networking platform.

VII. Abuse of Social Media and Networking
Failure to comply with this policy, whether on-duty or off-duty, can lead to discipline, up to and including termination. Nordson reserves the right to ask that you remove a post or to shut down a site if it violates this policy. Note, however, that nothing in this policy is intended to limit or interfere with your rights under Section 7 of the National Labor Relations Act or any other applicable laws, regulations, or directives, nor is it intended to preclude or dissuade employees from engaging in legally protected activities such as: discussing wages, benefits, or other terms and conditions of employment; complaining about their own and their co-workers' working conditions; or engaging in legally required activities.
